Connect your mailbox to send and receive

Connect your email over SMTP to send from Pranory, and over IMAP so replies reach your inbox.

Pranory sends email from your own mailbox, with no middleman. Your contacts see your address and reply to it. You connect it with two sets of technical details from your email provider:

  • SMTP: for sending. Required.
  • IMAP: for receiving. Optional, but without it Pranory can't pick up replies.

What you need

  • The email address you want to send from.
  • The server, port and encryption type for SMTP and IMAP. Your email provider's help pages list them, or whoever manages your domain can give them to you.
  • The mailbox username and password.

With Gmail your usual password often won't work: you need to turn on 2-Step Verification and create an app password in your Google account's security settings.

Pranory connects with a username and password. Microsoft 365 and Outlook.com no longer allow that by default: if you use Microsoft, ask whoever manages your account to enable SMTP AUTH and IMAP for your mailbox. If that's not possible, use a different mailbox to send from Pranory.

Common settings

Provider SMTP IMAP
Gmail / Google Workspace smtp.gmail.com, port 587, TLS imap.gmail.com, port 993, SSL
Microsoft 365 smtp.office365.com, port 587, TLS (only if your admin allows it) outlook.office365.com, port 993, SSL (same)

If your provider gives you different settings, use theirs.

Connect it in Pranory

  1. Go to Settings → Mailboxes and add a mailbox.
  2. Fill in the identity: a name you'll recognise, the sending address and the name your contacts will see.
  3. In the SMTP section, enter the server, port, encryption, username and password.
  4. In the IMAP section, enter the same details for the incoming server.
  5. If this is the mailbox you want to use by default, mark it as the default.
  6. Save and run the SMTP and IMAP connection tests.

Passwords are stored encrypted.

How replies come in

Pranory checks your mailbox over IMAP every 10 minutes. When someone replies to an email sent from Pranory, the reply shows up in the inbox and is linked to the business.

If something goes wrong

  • Authentication error: the username or password is wrong. With Gmail, use an app password. With Microsoft 365, check your admin has enabled SMTP AUTH and IMAP.
  • Can't connect, or it hangs and fails: check the port and encryption. Most often it's 587 with TLS for SMTP and 993 with SSL for IMAP.
  • Sending works but you don't see replies: check you filled in IMAP and that the IMAP test passes.
  • Your emails land in spam: ask whoever manages your domain to check the SPF, DKIM and DMARC records. And start by sending a few emails a day.
